Privacy Policy

Effective Date: May 30, 2026

This policy explains what information AuthorWings collects, how we use it, how we protect it, and what rights you have over it. It applies to everyone who uses our website, contacts our team, or purchases our services. For details on our working terms, see our terms of service. For details on how we handle refunds, see our refund policy.

AuthorWings is based in New York, United States. If you are visiting from outside the US, please be aware that your information may be transferred to and stored in the United States.

What we collect

We collect only what we need to deliver your project and communicate with you. The specific information depends on how you interact with us.

When you contact us or request a quote, we collect your name, email address, phone number (if provided), and any project details you share in your message.

When you place an order, we collect your name, email address, phone number, billing address, and project specifications. We do not store your credit card number, bank account details, or other payment credentials. All payment processing is handled by third-party processors (primarily Stripe and PayPal), and your financial data is stored on their secured systems, not ours.

When you send us your manuscript or project materials, we receive and store the files you upload or share with us. This may include manuscripts, outlines, notes, reference images, brand materials, and any other content you provide for your project.

When you browse our website, we collect standard analytics data through Google Analytics. This includes your IP address, browser type, device type, pages visited, time spent on pages, and referring URLs. This data is aggregated and used to understand how visitors use our site. It is not used to identify you personally.

How we use your information

Your information is used for the following purposes and no others.

To deliver your project: communicating with your assigned writer, editor, or designer, managing your project timeline, delivering drafts and final files, and processing your payments.

To communicate with you: responding to inquiries, sending project updates, and following up on completed work.

To improve our website: understanding which pages are visited, how visitors find us, and where the experience can be improved. This is done through aggregated analytics data, not individual tracking.

To send occasional updates: if you subscribe to our mailing list, we may send you updates about our services, tools, or published content. You can unsubscribe at any time through the link at the bottom of any email. We will never add you to our mailing list without your consent.

Cookies

Our website uses cookies for basic functionality and analytics. Google Analytics places cookies to track anonymous usage patterns. No advertising cookies or third-party tracking pixels are used for the purpose of serving you ads.

Most browsers allow you to block or delete cookies through their settings. Blocking cookies will not prevent you from browsing our site, but some features may not function as intended.

Third-party services

We share your information with third parties only when necessary to deliver your project or process your payments. These include the following.

Payment processors (Stripe, PayPal, and select additional processors): receive your payment details to process transactions. Their handling of your data is governed by their own privacy policies.

Project delivery tools: we use internal tools for file sharing, project management, and communication. Your manuscript and project files are shared only with the team members assigned to your project.

Analytics (Google Analytics): receives anonymized browsing data. Google’s use of this data is governed by Google’s privacy policy.

We do not sell your personal information to anyone. We do not share your information with advertisers. We do not provide your data to any third party for their own marketing purposes.

Your manuscript and creative files

Your manuscript, outlines, notes, and creative files are treated as confidential. They are accessible only to the team members working on your project. We do not use your manuscript content for marketing, training, or any purpose beyond delivering your project, unless you give us explicit written permission (for example, to feature your book as a case study or testimonial).

When your project is complete, your files remain in our systems for a reasonable retention period in case you need access to them. For details on how AI tools interact with your manuscript data, see our AI policy.

Data security

We use industry-standard security measures to protect your information, including SSL encryption on our website, secure file transfer for project materials, and access controls that limit who on our team can view your data. Payment data is handled entirely by PCI-compliant processors (Stripe and PayPal) and never touches our servers.

No system is perfectly secure. We take reasonable precautions, but we cannot guarantee absolute security. If we become aware of a data breach affecting your personal information, we will notify you promptly and take immediate steps to contain the issue.

Your rights

Depending on where you live, you may have specific rights under privacy laws. We honor these regardless of whether your local law technically requires us to.

You can request access. You can ask what personal information we hold about you, and we will provide it in a readable format.

You can request correction. If any information we hold is inaccurate, you can ask us to correct it.

You can request deletion. You can ask us to delete your personal information. We will do so unless we are legally required to retain it (for example, financial transaction records for tax compliance). Deleting your data may mean we can no longer access your project files on your behalf.

You can opt out of marketing emails. Every email includes an unsubscribe link. You can also contact us directly to be removed.

For California residents (CCPA): you have the right to know what personal information we collect, request its deletion, and opt out of any sale of personal data. We do not sell personal data.

For EU and UK residents (GDPR): you have the right to access, correct, delete, restrict processing, and port your data. Our legal basis for processing is contractual necessity (delivering your project) and legitimate interest (improving our website). You may contact your local data protection authority if you believe your rights have been violated.

Children’s privacy

Our services are not directed at anyone under 18. We do not knowingly collect personal information from minors. If we learn that we have collected data from someone under 18 without parental consent, we will delete it promptly.

Data retention

We retain your personal information and project files for as long as needed to fulfill your project, provide ongoing support, and comply with legal obligations. Financial transaction records are retained for seven years for tax and accounting purposes. You may request deletion of other data at any time, subject to the exceptions noted above.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the effective date at the top of this page. If we make changes that materially affect your rights, we will notify you by email or by a prominent notice on our website.
